Office Admin (Part-time, Temporary)
Reports to: Office Manager
Position Scope: 50% capacity (3 days a week in the office, 20 hours weekly)
The Role
We are looking for an energetic, people-oriented Office Admin to be the true heart of our office. If you enjoy bringing people together, creating a positive employee experience, and keeping things running smoothly, this role is for you!
Our team enjoys a warm, collaborative, and close-knit work environment. Your main goal will be to maintain this family-like atmosphere, ensuring employees feel welcome and supported, while successfully balancing organizational needs with a friendly, positive approach.
This is a temporary position for approximately 3–4 months (covering a handover and ongoing operations), with a possibility of extension.
Core Responsibilities
- Support the CEO with day-to-day operational and administrative needs, acting as a trusted right hand.
- Be the welcoming face of Arato, creating a positive experience for employees, candidates, and visitors.
- Oversee day-to-day office operations to ensure a well-organized, clean, and efficient workplace.
- Manage office inventory, including kitchen supplies, refreshments, and office equipment.
- Handle administrative and finance-related tasks, including tracking supplier invoices and managing office expenses.
- Manage onboarding logistics for new hires, ensuring a smooth and welcoming first-day experience.
- Plan and coordinate company events, including happy hours, holiday celebrations, and team gatherings.
- Serve as the main point of contact for employees’ day-to-day office needs.
- Coordinate with building management, service providers, and external vendors.
Requirements
- Experience in office management, administration, or employee experience is a major advantage.
- Highly organized, proactive, service-oriented, and full of positive energy.
- Strong multitasking skills, sharp attention to detail, and the ability to learn quickly.
- Ability to work independently and manage multiple responsibilities simultaneously.
- Fluent in spoken and written Hebrew and English.
- Proficiency with Google Workspace tools.
- Comfortable using AI tools such as ChatGPT, Gemini, or similar productivity tools.
- Available to start in early August for a comprehensive handover period.
